Managing Documents

You can create folders, upload documents, download documents/folders, and view the version history of the documents. 

Creating Folders

To create a new folder:

  1. Navigate to Document Repository. The Document Repository module is displayed.
  2. Click Create Folder. The Create Folder window is displayed.
  3. Enter the folder name and click Create.

The new folder is created and displayed in the Document Repository module.

Uploading Documents

To upload documents:

  1. Navigate to Document Repository. The Document Repository module is displayed.
  2. Click Upload. The Upload Document window is displayed.
  3. From the General tab, click Browse and select the document.
  4. From the Authorizations tab, specify the permissions.
  5. Click Upload.

The document is uploaded and displayed in the Document Repository module.

Sorting Folders and Documents

You can sort the documents by Name, Create Date, Modified Date, and Size.

To sort the folders and documents:

  1. Navigate to Document Repository. The Document Repository module is displayed.
  2. Select the sorting field and click .

The folders and documents are sorted as per the specified field and displayed in the Document Repository module.

Searching Documents

You can search the documents by Content, and Folder.

To search the documents:

  1. Navigate to Document Repository. The Document Repository module is displayed.
  2. Select the search field, search criteria, and click .

The matched documents are displayed in the Document Repository module.

You can also use the Advance Search option to specify exact search criteria.

Viewing History of a Document

To view the history of a document:

  1. Navigate to Document Repository. The Document Repository module is displayed.
  2. Select the required document and click History. The <Document name> window is displayed with the details such as Version, Created Date, and Action.

You can Download the specific version of a document.

Renaming a Folder

To rename an existing folder:

  1. Navigate to Document Repository. The Document Repository module is displayed.
  2. Select the required folder and click Edit. The Rename Folder window is displayed.
  3. Enter the folder name and click Rename.

The folder is renamed and displayed in the Document Repository module.

Deleting Folders/Documents

To delete an existing folder or document:

  1. Select the required folder or document and click Delete. A pop-up window is displayed prompting for confirmation.
  2. Click OK.

The folder or document is deleted from the Document Repository module.

Downloading Documents

To download a document:

  1. Select the required document and click Download

The document is downloaded.

Downloading Folders

To download a folder:

  1. Select the required folder and click Download as Zip

The folder is downloaded as a zip file.
